Company Secretarial Administrator

- Supporting specified Assistant Company Secretaries and/or Company Secretaries with the delivery of corporate secretarial services and ASIC compliance to their clients.
- This would include:
- Dealing with company changes, such as officer changes, share transfers, company address and name changes, and company incorporations and de-registrations, including preparing the required resolutions and ASIC forms.
- Lodging financial statements with ASIC.
- Advising clients on ASIC compliance.
- Compiling and distributing client board packs.
- Maintain and update internal and client registers.
- Overseeing the ASIC annual company statements and solvency resolution process.
- Providing company secretarial support and managing ASIC compliance for a portfolio of companies, including responsibility for client billing.
- Handling client mail received at the registered office (including scanning and distributing mail to respective client owners).
- Providing administrative support to team management. This includes:
- Preparing, co-ordinating and processing ASIC annual company statements and solvency resolutions.
- Dealing with company changes, such as officer changes, share transfers, company address and name changes, and company incorporations and de-registrations, including preparing the required resolutions and ASIC forms.
- Completing and lodging ASIC forms and notifications with other Government bodies.
- Providing advice on ASIC compliance.
- Compiling and distributing client board packs.
- General administration tasks, including scanning, filing and data entry.
- Supporting the Assistant Company Secretaries and Company Secretaries with the delivery of corporate secretarial services and ASIC compliance to their clients.
- Maintaining internal databases, including billing records, and compliance registers.
Requirements
- Knowledge of the Corporations Act, ASIC and internal Company requirements would be beneficial.
- At least 12 months practical experience with ASIC compliance and corporate secretarial administration.
- Detailed knowledge of ASIC forms and compliance.
- Experience with the collation of board packs.
- Outstanding verbal and written communication skills.
- The ability to work both autonomously and as a member of a team.
- Excellent attention to detail.
- Excellent organisational skills with the ability to prioritise work and meet deadlines.
- Excellent customer/client service skills, preferably with experience working in a client-facing role.
- Good customer service and relationship management skills.
- Excellent verbal and written communication skills.
- Highly organised, able to priorities and manage multiple tasks.
- Good attention to detail and accuracy.
- Ability to work effectively under pressure.
- Works well in a team environment.
